Events Coordinator
Wests Ashfield Leagues Club 

Wests Ashfield Leagues Club is part of the Holman Barnes Group, a highly regarded hospitality and club group delivering exceptional member and guest experiences across Sydney’s Inner West. We are now seeking a proactive, commercially minded Events Coordinator to support and grow our functions and events business across our venues.

This is a varied, hands-on role suited to someone who enjoys working with clients, coordinating events from start to finish, and actively promoting function spaces to maximise bookings and utilisation.

About the Role
Reporting to the Marketing & Community Engagement Manager, you will be the central point of contact for functions across the Club, managing enquiries, preparing quotes, coordinating logistics and ensuring events are delivered to a high professional standard.

A key element of this role is sales and business growth - ensuring function spaces are promoted, bookings are converted, and opportunities are identified to drive increased use of our venues.

Key responsibilities include:
  • Managing functions end-to-end, from initial enquiry and quoting through to delivery and post-event follow-up
  • Acting as the primary point of contact for clients, caterers, contractors and internal stakeholders
  • Proactively promoting and marketing function spaces to maximise utilisation and revenue
  • Converting enquiries into confirmed bookings through confident client engagement and follow-up
  • Preparing event documentation, run sheets and operational handovers
  • Coordinating event logistics, including catering, room setup and external suppliers
  • Gathering client feedback and supporting continuous improvement initiatives
  • Providing administrative and general support to the Marketing & Community team
Our Ideal Candidate
To succeed in this role, you will bring:
  • Experience in events, functions, hospitality or marketing (Club industry experience highly regarded)
  • Strong communication and relationship-building skills
  • Confidence in quoting, selling and converting event and function bookings
  • Excellent organisation skills with strong attention to detail
  • A customer-focused, solutions-driven mindset
  • Ability to manage multiple events and deadlines simultaneously
  • Intermediate Microsoft Office skills (Word, Excel, Outlook)
  • Flexibility to work varied hours in line with event schedules
  • Valid RSA & RCG
  • A current Driver’s Licence (desirable)
